Archiving is a process of great importance for making progress in all sectors and in society overall. It is usually by way of studying the past that we obtain enough data to make current adjustments which will influence the future. By going back we can either gain useful information on how to make things better by observing which strategies did or failed to work, we can also expand on information from the past or we can simply opt to go back in history just to enjoy something.
An old song from the 1960's which isn't played on the airwaves anymore is such an demonstration of moving back in time for pleasure. An old document which provides more information about our ancestry is an instance of moving back in time for the purpose of interest. Finding the documentation of a medical study which had been conducted years before is an example of going back in time for the objective of medical progress.
If we think it over, humans have generated a substantial amount of details over the ages. So where does this all information go? And just how is one able to access it? That's where archiving comes into play. Archiving is the procedure of amassing, organizing, labelling and storing information in such a way that when individuals need to find a particular piece of information they will be capable of finding it.
An archivist is the person whose job it is to get, sort, label and store data. You will find archivists in your local library, museums, universities, radio stations, government institutions, hospitals, scientific laboratories, research centres, corporations, newspaper agencies and many other kinds of institutions in which the retaining of data will be of value.
The entire process of archiving however does not just happen in institutions, we are all archivists in actuality. Consider when you store your tax forms? You generally sort them and categorize them in months and then place them in a file with a label tax forms. Now whenever you need to check something with regards to your tax forms, you need only recall the spot where you placed your file. The fact that you sorted everything in months makes it much simpler for you to locate the information. If you need to check a document of a particular month you go directly to that folder and look through those paperwork.
We even archive our photo albums, in accordance with the year, time period and occasion for example; Christmas holidays in Geneva 1992. Once you give it some thought you will understand that were it not for archiving disarray would ensue on a personal and societal level.
To ensure us to maintain order we need to store records, musical and photographic files in ways that makes sense and in a way that the data can be very easily retrieved. Nowadays most archiving is done electronically. Data back-ups are made of important electronic information, sorted and stored. The medium may vary but in the end the process of archiving is the same.
